As far as the BBQ goes, I know that at our open track day we have a dinner on Saturday night that is optional. Basically it's a la carte catered by a local grocery store and added on to the event registration same as the dyno deposit and such. Usually ours runs $10/person for a banquet type dinner served out at the track.

Realistically that is the only way you're going to do it. There is no way anyone will want to stand over a grille for a couple hours serving up 100 burgers and dogs plus provide fixins and drinks for everyone on top of running the show and shine.
